Job title: Front Office Executive Work Arrangement: On-site Department : HR & Admin Employment Type: Full-time
Role Overview The Front Office Executive will be the first point of contact for employees, candidates, clients, and vendors in a fast-paced, 500-member product-based organization. The role requires excellent customer service, strong coordination skills, and the ability to manage high-volume footfall while ensuring seamless day-to-day office operations.
Key Responsibilities a)Front Desk & Visitor Management
Greet and welcome employees, candidates, clients, and vendors professionally. Manage high-volume visitor traffic and maintain accurate check-in/check-out records. Coordinate with Security for access badges, visitor passes, and compliance protocols. Ensure the reception area is clean, organized, and professional at all times.
b)Communication & Coordination
Respond to general email inquiries and direct them to respective departments. Coordinate effectively with HR, Admin, IT, Facilities, and other internal teams.
c)Administrative & Operational Support
Manage meeting room bookings and ensure readiness for frequent cross-functional meetings. Support interview and onboarding days by coordinating candidate arrivals and room allotments. Handle courier services, incoming/outgoing mail, and other essential deliveries. Maintain front office inventory including stationery and pantry supplies. Assist in travel arrangements, employee engagements, and office events as required.
d)Workplace & Employee Support
Serve as the first point of contact for employee queries related to facilities and access management. Coordinate with housekeeping, IT, and security teams to ensure smooth office functioning. Escalate operational issues promptly to the Admin/Facilities team.
e)Additional Responsibility
Support Recruitment team in hiring process. Provide support during weekend hiring drives or office events, if scheduled.
Preferred SkillsGraduate in any discipline; a Diploma in Hotel Management or Hopitality Management will be an added advantage. Why You Will Love Working With Us
