Brief DescriptionJob Description  : Associate - CEO's Office Position Overview This role provides high-level strategic, operational, and administrative support to the management team in a fast-paced animation production environment. The individual will function as an extension of the Management Office—coordinating across Production, Creative, HR, Administration, MIS, Finance, Accounts and Client Teams.Key responsibilities include tracking production deliverables, consolidating reports, preparing dashboards, reviewing project performance, and ensuring smooth communication across departments to support timely decision-making.

Key Responsibilities

  1. Management Support & Coordination

Assist management with day-to-day priorities, production reviews, and project decision-making. Coordinate with Department Heads / Production to collect updates on tasks, shot status, and pipeline challenges. Manage management calendars, review schedules, client calls, and internal reviews. Represent management in internal meetings, production checkpoints, and external client discussions when needed.

  1. Meeting & Communication Management

Prepare agendas, minutes, and action trackers for production meetings, leadership reviews, and cross-team syncs. Ensure alignment between departments before and after meetings. Draft internal updates, weekly summaries, production notes, and strategic communications on behalf of management.

  1. Data, Analytics & Reporting

Prepare production dashboards, shot delivery reports, resource utilization summaries, and monthly MIS. Analyse data to identify bottlenecks, delivery risks, cost overruns, or productivity gaps. Consolidate inputs from production tracking tools into clear management-ready insights. Provide data-driven recommendations to improve pipeline efficiency and project output quality.

  1. Project & Deliverable Tracking

Track progress of key shows, episodes, assets, and deliveries in coordination with production teams. Flag deviations from production schedules, budgets, or quality checkpoints to management. Maintain a central task management system capturing all management priorities, deadlines, and follow-ups.

  1. Stakeholder Management

Serve as the single point of coordination between management and internal teams. Support communication with external clients, partners, and vendors, ensuring timely responses and professional conduct. Maintain confidentiality and foster strong, smooth relationships across stakeholders.

  1. People & Studio Operations Support

Coordinate with team leads to address production bottlenecks, staffing needs, or workflow constraints. Assist management with team evaluations, resource planning, hiring projections, and performance review inputs. Support company-wide events such as production reviews, festivals, project kick-offs, leadership summits, and HR initiatives.

Qualifications

Bachelor’s or Master’s degree in Business Administration, Management, Media, Animation Production, or related fields. 3–8 years of experience in senior leadership support, production coordination, PMO, or business operations—ideally within animation, VFX, gaming, or media. Experience in a Management Office, Production Office, Strategy, or Executive Assistant role is highly preferred. Preferred SkillsRequired Skills & Competencies

Strong understanding of animation production workflows is a major advantage. Excellent analytical skills with the ability to interpret production data and reports. Proficiency in Excel, PowerPoint, and familiarity with production tools. Strong communication, documentation, and interpersonal abilities. Exceptional organizational skills and the ability to manage multiple moving parts under tight deadlines. High levels of ownership, discretion, professionalism, and problem-solving capability. Ability to influence teams and drive follow-ups without formal authority.
